PRIVACY & DATA CONTROLS
A clear view of what PadelInsight keeps, why it keeps it, and what you can control.
Controller: Chris Duggan (PadelInsight by PadelLife pilot). Updated 2026-10-28. Contact the controller using the request form below; you do not need an account to raise a concern. This notice covers the private pilot.
WHAT WE USE AND WHY
| Information | Purpose | Basis |
|---|---|---|
| Player profile and sign-in identifier | Provide your private training space and save preferences. | Contract: necessary to provide the service you request. |
| Matches, coaching, reflections, learning and derived plans | Keep your training history and generate the coaching insights you request. | Contract for the player’s service; legitimate interests for limited observations about other adults, subject to a balancing assessment. |
| Optional partner, opponent and coach details | Recognise repeat playing partners and put sessions in context. | Legitimate interests in a private, minimal sports record. Names and approximate levels are optional. People can object. |
| Feedback from partners, opponents and coaches | Add the perspectives requested by the player. | Legitimate interests in providing voluntary sports feedback, subject to a balancing assessment. The submission confirmation authorises sharing; it is not blanket consent for other uses. |
| Optional member name attached to feedback | Show the respondent’s own profile name alongside feedback only when explicitly selected. | Consent for this optional identity attachment, withdrawn using the data controls. Feedback may remain role-only afterwards. |
| Shared snapshots | Show only the player-selected preview to people with the link. | Contract: the player expressly requests each snapshot. No automatic sharing. |
| Privacy requests, complaints and security records | Respond to rights requests and protect the service. | Legal obligation where applicable; legitimate interests for proportionate security and handling general concerns. |
Only a display name or nickname is needed for your profile. Ratings, saved venues and other players’ names are optional. Do not add addresses, contact details, medical information or unrelated personal comments to match or coaching notes.
INFORMATION ABOUT OTHER PLAYERS & COACHES
A player may privately record a match or coaching session involving you, with an optional nickname, approximate playing stage, score and sports observations. Feedback about play is an opinion, not a verified rating or diagnosis. A nickname can still be personal information. We do not scrape Playtomic accounts.
If you add information about someone, give them this privacy information promptly—normally no later than one month, and earlier where required. The data controls below let you record that you have done so. These reminders do not replace the controller’s responsibility to assess and meet notification duties, including any applicable exceptions. Tell us if you object or need information corrected or removed; no account is required.
When giving feedback, your selected observations and optional comment go to the requesting player, labelled by role. No guest name is requested: responses are labelled Partner, Opponent A or Opponent B (or Coach for coaching). Member-name attachment is disabled while player accounts are closed. Do not assume anonymity: the player knows whom they invited. You may quote the invitation in a privacy request so we can locate your response; do not put the secret link in a public post.
WHO CAN SEE WHAT?
Your journal is private to your account under the site’s access rules. The operator can access stored information when necessary for administration, support, security or rights requests; it is not end-to-end encrypted. General coach briefings exclude private coaching-experience reviews. Mental-game information is excluded unless you specifically select it. A coaching-experience review needs its own separate share action.
Every shared snapshot has a preview, an expiry and a withdrawal control. Anyone who obtains a valid link may view its selected contents, subject to site access restrictions. Withdrawal stops future access through the link; it cannot retrieve copies or screenshots already taken. Coaches who receive data may have their own privacy responsibilities. No information is sold and no advertising profiles are created.
HOSTING & SIGN-IN
The pilot uses OpenAI Sites, ChatGPT sign-in and managed Cloudflare infrastructure. Sign-in supplies an account identifier and identity information used to authenticate access. Provider contracts, processing roles, subprocessors, storage locations and any international transfer safeguards must be verified by the operator before the pilot is opened to other people. The training account remains restricted to its owner during that review. The landing page, waiting list and valid owner-issued feedback invitations are accessible to guests. Creating another player account is disabled. Real coach briefings and private session-review snapshots remain owner-only.
USAGE MEASUREMENT
Named feature-use histories and referral chains have been removed. The pilot overview shows only totals derived from existing service records, with statistics hidden below five player profiles excluding the owner. It does not report individual activity or referral journeys. Necessary authentication, security logs and a profile’s latest service-use date are separate from analytics. No extra analytics cookies, session replays or fingerprinting are used by this application. Hosting and sign-in providers may use their own necessary technologies.
WAITING-LIST EMAILS
If you join the waiting list, we store your email address, request date, the wording version of your permission and whether we have contacted you. We use this only to consider you for and contact you about the small test group, based on your specific consent. It is not permission for general marketing. Addresses are not automatically verified; no confirmation or invitation email is sent automatically. The operator alone can view the list. We do not create a player account or start a trial. You can withdraw your permission and ask for removal through the contact form below; we may need to verify the request. Waiting-list records are automatically removed after 12 months, subject to the maintenance timing explained below.
HOW LONG IS INFORMATION KEPT?
- Training profiles and their linked matches, feedback, coaching, practice and learning records: until you delete them or after 24 months without use of the saved training space.
- Feedback invitations: usable for up to 30 days after the later of creation or the scheduled activity. Submitted observations stay with the training history; the submission link does not stay open.
- Shared briefings: 7 or 30 days, as selected. Coaching-review snapshots: 30 days. Withdrawal immediately removes the stored snapshot contents.
- Legacy named usage and referral histories: erased by the next maintenance pass, and no longer collected. Previous pilot help reports: deleted after 90 days.
- Privacy requests and complaints: kept while open, then for 12 months after resolution to document handling. These records can survive deletion of a training account, with the account link removed.
Automated maintenance runs on the next API request when the daily maintenance interval is due. It is request-triggered, not a guaranteed midnight deletion job; an unused site may retain expired records until its next request. Expired and withdrawn links are blocked immediately regardless of cleanup. Provider backups and infrastructure-log deletion schedules still require verification; we do not promise immediate deletion from every provider backup.
YOUR RIGHTS & CHOICES
You can ask for access, correction, deletion, restriction or portability where applicable, and object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it. Rights have limits and sometimes require identity checks or protection of another person’s information. Training suggestions are advisory; they do not make legal or similarly significant decisions about you.
Use Player settings to correct your profile and saved players, Edit match for match details, or the form below for other corrections and disputes. Rights requests are normally answered within one calendar month, subject to lawful extensions or clarification rules. Privacy complaints are acknowledged within 30 days and investigated without undue delay. You may complain to the Information Commissioner’s Office.

Players, coaches, opponents and people without accounts can use this form. Give enough context to locate the record, but avoid unnecessary sensitive details. Requests are reviewed manually; no automatic email is sent.
This notice describes the implemented pilot arrangements. It is not a certification of legal compliance. The operator must confirm its details and provider arrangements before inviting testers.
